BCG HR compensation tool

An extension to the HR portal for easy access and modification of compensation related data

Research & Ideation
Approach

Understanding user demands was crucial to developing a value proposition and obtaining executive permission for the tool. In order to start, we conducted a remote workshop in which we asked the participants to describe their present workflow and one aspect they would like to change. Throughout the period of compensation, we interviewed them using a generative methodology regarding their lives. We also inquired as to how the system may be improved to ensure smooth operation of the compensation process, but we made no mention of the new tool in our questions. The entire process was completed online using the Miro board.


Time-consuming

No intimation on confirmation/rejection of a request until the completion of the entire request cycle

Manual Request 

Tedious process seeking HR's approval prior to processing the date, to ensure correctness. Additionally, obtaining data required more time if inaccurate

Multiple sources  

Scattered information across information sharing platforms including Slack, Egnyte, and SharePoint, and all data being manually validated before processing. 

Multiple Data Sources 

The tool's effectiveness depended on the format of data fetched from multiple departments such as HR, IT, Departmental Data, etc

30+ Stakeholders 

30+ stakeholders across multiple time zones made it difficult to maintain files and their version, as a result, caution had to be maintained and enough time was supposed to be given to everyone for reviewing updates, while maintaining timelines.

Existing Ecosystem

There was limited time to understand the existing technology and propose a new solution while not digressing much from the current technology used. Hence it was essential to comprehend the system well 

Global Leader

The user will be able to view the compensation plans being made in their team and, if necessary, recommend adjustments without actually making them.

Super Manager

This user is in charge of altering the rights, suggesting adjustments to the team's compensation, and granting special permissions to users as needed.

Manager

Manager is responsible to edit all compensation.

Understanding the existing technology and architecture for determining the arch and information flow was a challenge as it was going to be part of existing tool

Key Observations/Pain Points

The process in place was manual, making it impossible to track the status of incoming requests in real-time and to take action before the request cycle was complete.

Approach/ Set Process

Using KANBAN method to distribute the user stories into two segments of 'low fidelity' and 'design', owing to the following reasons :

  • Mix of in-house and vendor resources to work on the project

  • A maximum of 3 BCG resources to be deployed

  • One developer from BCG to lead the development progress by the vendor

A page with the overview of the team's complete details, including historical data to aid any planning/decision making

Temporary Rights Transfer

Flexibility given to a manager to temporarily transfer rights to a colleague to make compensation related decisions in their absence

Multi-user Modification

A feature to distribute equal percentage of compensation raise across multiple employees in just one flow.

Testing & Improvements

Targeting early user testing and flow improvisations on low fidelity wireframes


  • Running 3+ iterations on the task to improve success rate

  • Completing the task with 92% success rate

  • Having enough buffer in hand to implement user feedback


The tasks were successfully completed after 3+ iterations, with the final version having a success rate of 92% as opposed to the first run's 70%.

Task, User Flows and Low Fidelity

As next steps, getting the approval from the stakeholders on the task flows and low fidelity wireframes to finalize the user journey for all personas.

Based on the priority matrix there were 3 primary features that were emerged as most valuable

An important attribute within the tool to enable and record employee sentiments.

Objective/Problem

Non-existence of a centralised system to manage compensation process for employees, the biggest challenge being presence of scattered information on the Egnyte tool with little proof of authenticity

To fine tune the value proposition of the tool, and oversee the work and implementation of the end product by the product team

Heuristic Evaluation 

Our heuristic experts evaluated the design and Post heuristic evaluation, changes were made to the designs basis the suggestions.

Remote Testing 

Included planning of 10+ tasks distributed among 30+ users, to validate design decisions made.

Design/User Testing 

Testing the design for usability and flow validation by stakeholders, select users, and experts. Prior to the start of the development process, the heuristic experts also did the following.

Inspirations 

Our main insipration source was BCG website as the tooll was going to be part of it, but the creation of tool design guide for the team helped them stay focused on the design.

Design Principles 

It being an internal tool, there was a need to apply BCG business principles and global brand guidelines to it. While the final design reflected some of the striking features of the brand guidelines, it also evoked emotions of a good user experience.
